The Client's Goal

This was a private VIP event hosted by DP World during the Ryder Cup week - one of the busiest, highest-demand event periods in New York.

The audience:

  • High-net-worth international clients
  • Sponsors and golf participants
  • VIP guests from around the world

The goal:

  • Impress and entertain elite clients
  • Create a luxurious, memorable experience
  • Blend networking with premium entertainment

The event included live performances, cigar bar, food stations, drone show, and fireworks. This was not just a party - it was a high-stakes client experience.

The Setup We Delivered

6-piece jazz band: Female vocalist, saxophone, guitar, keyboard, bass, drums

Music style: Vintage jazz / Postmodern Jukebox style, jazzy pop covers, jazz standards

Special direction: No John Legend songs (due to headline performance)

Format: First set during cocktail + networking, second set after headline performance.

The Execution

Cocktail and Networking

Guests arrived to drinks, food stations, cigar lounge, and live music ambiance. The music was luxurious, conversational, and high-end background energy.

Headline Performance

Mid-event: Dance performance followed by John Legend performing live (flown in by helicopter). This elevated the event into a full-scale production.

The Challenge: Rain

During the headline set, it began raining heavily. The piano and stage were exposed, artists continued performing in the rain, and our second set was at risk of cancellation.

Our response: "If we have cover, we'll continue."

A tent was quickly installed over the stage. We performed in wet conditions, with full instrumentation, without compromising performance quality.

Second Set

After the drone show and headline performance, we returned to the stage. Guests gathered near the stage, couples danced, and the audience stayed engaged.

The Result

  • Guests stayed throughout a multi-part event
  • Dance interaction (even though not a dance-focused event)
  • Direct positive feedback from attendees
  • Strong reaction despite weather conditions

Client and production feedback (paraphrased): "Top-tier, international-level entertainment. Incredible performance and professionalism."

Venue and Production

Location: Outdoor waterfront venue near Jones Beach Theater, Long Island

Production included: Large LED screens, full-scale staging, professional sound system, drone show + fireworks

Sponsor: DP World

Challenges and How We Solved Them

Challenge 1: Rain during performance → Continued performance under tent

Challenge 2: Ultra high-profile event expectations → Delivered premium, polished performance

Challenge 3: Last-minute booking → Coordinated travel and logistics within 2 weeks

Challenge 4: Peak Ryder Cup demand (limited hotels) → Managed travel despite extreme pricing and availability

Why This Event Worked

  • Band size matched VIP scale
  • Music style aligned with luxury setting
  • Flexibility under pressure (weather)
  • Integration into multi-act production

Most importantly: We delivered consistency and quality in a high-pressure, high-visibility environment.

Vegas vs SF vs New York - Key Differences

Las Vegas (Wiz): 1,500 guests, large-scale production, featured band set

San Francisco (Wiz): 200-300 guests, duo setup, networking focus

New York (Ryder Cup): 300 VIP guests, 6-piece band, multi-act luxury event, performance alongside A-list artist

When This Setup Is Best

This type of band setup is ideal for:

  • VIP corporate events
  • Luxury client receptions
  • Sponsor activations
  • High-end private events

Especially when you need premium atmosphere, guests are high-profile, and the event includes multiple entertainment elements.

Final Takeaway

For VIP events in New York: A live jazz band is one of the strongest ways to elevate the guest experience, support high-end branding, and deliver consistent energy throughout the event.

Even under pressure - or in the rain - the right band makes the event.
